When you apply for a job, the best scenario is to provide a customized cover letter written to a specific person. However, when you respond to an advertisement from an online board or even a newspaper that has no contact information, what do you do?

The first step to try is to find out who is the hiring contact at the company of interest. A quick phone call to the company’s HR department can often give this information. However, some companies do not give out that information easily. In some cases, you may only have a blind ad without any company information. If you find yourself in either of these scenarios, then here are some tips for writing a cover letter with no contact information.

Who do you address the letter to? A good recommendation is “Dear Hiring Manager”. This salutation is specific so it goes to the person in charge of hiring. It is not generic like “To Whom It May Concern”. It is not addressed to a department like “To the HR Department”.

Writing the rest of the cover letter is the same as if you have a contact or not. The first paragraph must grab the attention of whoever is reading it. In the first sentence or two, tell them how you heard about the job. Make sure there is some passion in your lines. “I was thrilled to see your advertisement for a marketing manager on Monster.com” is better than “I’d like to apply for the marketing manager job you have posted on Monster.com”. Finish up the first paragraph with a few details of why you want the job.

The second paragraph allows you to summarize your qualifications. This is a neat summary of what your resume or CV offers. The third paragraph brings you and the company together. Why are you a good fit for the job? Is the company a good fit for you? The last paragraph wraps things up. Mention you are enclosing your resume and you hope to hear from them soon.
